Please read this Terms and Privacy Policy carefully. By using our Site, becoming a member, or engaging with our services, you indicate that you have had sufficient opportunity to access these Terms and Privacy Policy and that you have read and accepted it.

We recognise the importance of protecting your privacy and our policy is designed to assist you in understanding how we collect, use and safeguard your personal information. This policy will be continuously assessed against new technologies, business practices and our customers' needs.

If you do not wish to provide personal information to us, you do not have to do so, however it may affect your use of this Site or any products and services offered on it or by us.

ACCEPTANCE OF TERMS

By creating a Bohypnic membership account, accessing our community platform on Circle, or using any of our services and offerings, you acknowledge that you have read, understood, and agree to be bound by these Terms & Privacy Policy.

If you do not agree to these Terms, you do not have permission to use our services or community platform.

Your use of the Bohypnic community and our services constitutes acceptance of these Terms and Privacy Policy as they may be amended from time to time.

2. INFORMATION WE COLLECT

We collect personal information about you when you:

• Complete an application form for our services 
• Create a membership account

• Place an order or make a purchase

• Register for events, retreats, or programmes

• Interact with us via email, our website, or community platform

• Participate in our community on Circle

• Apply for scholarships or foundation support

• Sign up to our newsletter or further resources

• Sign up to our newsletter (managed through Beehiiv)

• Name, email address, phone and mobile numbers

• Date of birth and/or age

• Gender identity and pronouns

• Home address, shipping and billing address

• Emergency contact details

• Social media profiles (optional, for community connection)

• Payment information (processed securely through Stripe)

• Profile information and preferences

• Community platform activity and contributions

• Membership tier and participation history

• Workshop, retreat, and event attendance

Children's Privacy: Our services are not intended for individuals under 18. We do not knowingly collect personal information from minors. If you believe we have collected information from a minor, please contact us immediately.

Customer Data - To process membership subscriptions, event bookings, course purchases, coaching programmes, and other services you've requested. To maintain transaction records and fulfil our contractual obligations to you.

User Data - To operate our website and community platform, ensure relevant content is provided, maintain security, create backups, and enable publication and administration of our services.

Technical Data - To analyse your use of our website and services, administer and protect our business, deliver relevant content, and understand the effectiveness of our offerings.

Marketing Data - To send you relevant updates about Bohypnic offerings, events, and opportunities (where you have consented). To understand how members use our services and improve our offerings.

Community Platform Data - To facilitate connections between members, enable community discussions, showcase member offerings via our Directory and Opportunity Board, create a safe, engaged community environment, support your personal growth journey by storing and sending back your intentions and goals at meaningful intervals, and gather feedback through surveys to continuously improve our offerings.

Event & Programme Data - To manage registrations, communicate logistics, ensure safe and meaningful experiences, and improve future offerings.

Foundation Data - To assess scholarship and fund applications, provide equitable access to our services, and support members in need.

Our lawful grounds for processing include: performance of contract, legitimate interests, legal obligations, and your consent (which you may withdraw at any time).

Essential Cookies - Always used to allow Squarespace (our hosting platform) to securely serve this website to you. These are required for the website to function.

Circle Platform Cookies - Our community platform (Circle) uses cookies to maintain your login session and personalise your community experience.

Service Communications:

By using any of our services (including membership, coaching programmes, tarot readings, courses, workshops, events, or retreats), you automatically receive:

• Our weekly newsletter with updates, reflections, and community offerings

• Service emails related to your bookings, membership and purchases (event reminders, session confirmations, course access, retreat logistics, billing notifications)

• Feedback forms and surveys to help us improve your experience

• Personal check-ins and milestone communications (e.g., your intentions sent back to you after 3 months or confirmed time period, post-session reflections)

• Important updates about Bohypnic offerings and community opportunities

You can unsubscribe from the newsletter at any time via the unsubscribe link in any email, but you will continue to receive essential service-related emails while you are actively using our services (e.g., retreat confirmations, coaching session reminders, event details, payment receipts).

If you have purchased a one-time service (such as a course, event ticket, or tarot reading), you will receive relevant communications for that service. Once the service is complete, you may unsubscribe from all future marketing communications.

We may also contact you to voluntarily participate in surveys or provide feedback.

• Typeform - form collection for surveys, onboarding forms and feedback

Email Communications:

• Email service providers for newsletters and transactional emails

• Beehiiv - newsletter platform for sending our weekly newsletter and email communications (receives email address, name, and subscription preferences)

Event Delivery:

• Venue partners and retreat locations (only information necessary for your participation)

Legal Requirements:

• We may disclose your information if required by law, court order, or to protect our rights or safety.

• We do not sell, rent, or trade your personal information to third parties for marketing purposes.

• All third-party service providers are required to maintain appropriate data protection standards and use your information only for the purposes we specify.

Data Location: 

Your personal data is stored on secure servers provided by our trusted service providers, including Squarespace (website), Stripe (payment processing), Circle (community platform), Airtable (data management), Typeform (forms and surveys), and email service providers. These providers maintain high security standards and comply with relevant data protection regulations including UK GDPR.

International Data Transfers: Our community platform (Circle) and some service providers operate from the United States. Your personal information may be transferred to, stored, and processed outside the UK. All international transfers are protected by appropriate safeguards including Standard Contractual Clauses (SCCs) as required by UK data protection law.

All data transfers comply with UK GDPR requirements and appropriate safeguards are in place.

How We Protect Your Data:

• Secure payment processing through Stripe (we never store your full payment details)

Data Retention: 

We retain your personal data only for as long as necessary to fulfil the purposes outlined in this policy, comply with legal obligations (including retaining financial records for 7 years as required by UK law), resolve disputes, and enforce our agreements.

9. MEMBERSHIP TERMS & CONDITIONS

Eligibility:

You must be at least 18 years old to become a Bohypnic member. By creating an account, you confirm that you meet this requirement.

Membership Tiers:

Bohypnic offers four membership tiers:

  • Tier 1: - Roots

  • Tier 2: - Grounding

  • Tier 3: - Presence

  • Tier 4: - Sanctuary

Each tier includes specific benefits as outlined on our website and in your membership confirmation.

By becoming a member, you agree to:

Account Responsibility:

You are responsible for:

• Providing accurate information

• Keeping your account details up to date

• Maintaining confidentiality of your login credentials

  • All activity under your account

  • Use our services in accordance with these terms

Community Guidelines:

Members must:

• Respect all community members

• Honour confidentiality within the community

• Engage with intention and respect 

• Refrain from harmful, discriminatory, or harassing behaviour

• Not share private community content externally without permission

Violation of Guidelines:

We reserve the right to suspend or terminate your membership immediately for violations of community guidelines, including:

• Harassment or harmful behaviour toward members

• Sharing private community content without permission

• Fraudulent activity or misuse of services

  • Violation of these Terms

  • Share member-exclusive content, event links, or resources with non-members 

  • Share your login credentials or account access 

  • Engage in any behaviour that compromises the integrity or safety of our community 

  • Breach any other terms outlined in this agreement

Upon termination, you will lose access to all membership benefits immediately and forfeit any unused portion of your membership fee.

Event Attendance and Participation: 

  • Membership fees provide access to events and offerings, not guaranteed attendance at every event 

  • Event dates, times, and details are provided at sign-up or in advance 

  • You are responsible for reviewing event schedules and choosing which events to attend 

  • Membership fees are payable in full regardless of which events you choose to attend

  • Non-attendance at events does not entitle you to refunds, credits, or membership fee reductions

  • We are not responsible if you are unable to attend events due to scheduling conflicts or other personal circumstances

Events may include practices such as meditation, reflection sessions, tarot or oracle card readings, and other holistic wellness activities. All activities are voluntary and designed to support personal growth and connection.

10. PAYMENT & BILLING

Payment Methods:

We accept payment via Stripe, which processes major credit and debit cards. Your payment information is processed securely and we do not store your full card details.

Recurring Billing:

  • Memberships are billed monthly on a recurring basis

  • Your first payment is processed immediately upon sign-up

  • Subsequent payments occur automatically on the same day each month

  • All prices are in GBP (£) and include VAT where applicable

Auto-Renewal: Your membership will automatically renew each month unless you cancel. By subscribing, you authorise Bohypnic to charge your payment method on a recurring basis.

Price Changes:

We reserve the right to change membership prices with 30 days' notice. Existing members will be notified via email before any price changes take effect.

Failed Payments:

If a payment fails:

• You will be notified via email

• We will attempt to process payment again

• Access to member benefits may be suspended until payment is successful

• Your membership may be cancelled if payment issues are not resolved within 14 days

Additional Services and Separate Purchases::

Some offerings are purchased separately from membership subscriptions (coaching programmes, retreats, courses, events, products). These have separate payment terms as outlined at time of purchase.

Taxes: All prices are inclusive of applicable VAT where required by UK law.

11. CANCELLATION & REFUNDS

14-Day Consumer Rights (Digital Content): Under UK law, you have 14 days to cancel digital content purchases. However, by accessing membership benefits immediately, you waive your right to the 14-day cooling-off period. This will be clearly communicated and agreed to at sign-up. 

Membership Cancellation:

You may cancel your membership at any time by:

• Emailing connect@bohypnic.com

• Managing your subscription through your Circle account settings

Notice Period:

Cancellations take effect at the end of your current billing cycle. You will retain access to membership benefits until that date. No partial refunds are provided for unused portions of the month.

Event Attendance: 

Your membership provides access to events and community offerings. You choose which events to attend based on your availability and preferences. Event dates and times are communicated in advance through our platform, newsletter, and event listings. 

Membership fees are non-refundable regardless of: 

  • The number of events you attend 

  • Scheduling conflicts that prevent your attendance 

  • Personal circumstances that limit your participation 

You are responsible for reviewing event details and determining your availability before joining or maintaining your membership.

Refunds for Additional Services:

Courses & Digital Workshops (Self-Paced):

  • No refunds once purchased and accessed

  • At checkout, you must acknowledge: "I agree to access this course immediately and understand I am waiving my 14-day cancellation right"

  • By completing your purchase, you will receive immediate access to course content

Retreats & Events (Paid Separately):

  • 30+ days before event: Full refund minus processing fees

  • 14-29 days before event: 50% refund

  • Less than 14 days before event: No refund

  • If we cancel: Full refund or credit toward future events

Coaching Programmes, tarot readings and other services:

Cancellation and refund terms will be outlined in your direct coaching and/or tarot reading agreement.

12. COMMUNITY PLATFORM TERMS

Platform Access: Members access our community through Circle, a third-party platform. By using the platform, you also agree to Circle's Terms of Service.

Platform Availability: While we strive for 99% uptime, we cannot guarantee uninterrupted access. We are not liable for temporary unavailability due to technical issues, maintenance, or circumstances beyond our control.

Member Directory:

Members can create profiles in our Directory to connect with others. You control what information you share publicly.

Opportunity Board & Recruitment Board:

Members can post opportunities, events, and job listings. You are responsible for the accuracy of your postings.

Privacy & Confidentiality:

The Bohypnic community is a private space. Members agree to:

• Keep community discussions confidential

• Not screenshot or share private content outside the community without permission

• Respect the privacy of other members

Inappropriate Content:

We reserve the right to remove any content that:

• Violates community guidelines

• Is harmful, discriminatory, or harassing

• Infringes on intellectual property rights

• Is spam or promotional without permission

Sharing of Member-Exclusive Content:

All member-exclusive content is provided solely for your personal use as part of your paid membership. You may not: 

  • Share event links, Zoom passwords, or access codes with non-members 

  • Distribute course materials, worksheets, or resources outside the community 

  • Record, screenshot, or reproduce member-only content for external sharing 

  • Forward member-only emails or communications to non-members 

  • Share login credentials to give others access to the platform

Violation of this policy may result in immediate suspension or termination of your membership without refund. We understand you may want to invite friends to Bohypnic - please direct them to our website to join as members rather than sharing exclusive member content.

User-Generated Content: By posting content (text, images, videos, links) on our community platform:

  • You retain ownership of your content

  • You grant Bohypnic a non-exclusive license to use, display, and distribute your content within the community

  • You confirm you have the right to share this content

  • You agree your content does not violate any third-party rights or laws

  • You understand content may be visible to other members

Content Moderation: We reserve the right to remove any content that violates our Community Guidelines or these terms, with or without notice.

Member Interactions:

  • Treat all members with respect (see Community Guidelines)

  • Do not share other members' personal information without consent

  • Report any concerning behaviour to connect@bohypnic.com

  • We are not responsible for disputes between members

Social Sharing Features: 

The Community platform for members may offer social sharing features that let you share actions with other media. Your use of such features enables sharing of information based on settings you establish with the social media platform. We do not control these third-party features.

13. PLATFORM LICENSE & USAGE RESTRICTIONS

License Grant:

Subject to your compliance with these Terms, Bohypnic grants you a limited, non-exclusive, non-transferable, revocable license to access and use the community platform for personal, non-commercial purposes.

Usage Restrictions:

You may NOT:

• Use the platform for any illegal purpose

• Impersonate others or provide false information

• Scrape, copy, or download community content without permission

• Interfere with platform security or functionality

• Use automated systems (bots) to access the platform

• Sell, transfer, or sublicense your membership to others

• Share your login credentials or allow unauthorised access

• Use the platform to promote competing services without permission

Intellectual Property:

All content, branding, designs, and materials on the Bohypnic platform and through our services are owned by Bohypnic LTD or licensed to us. You may not reproduce, distribute, or create derivative works without written permission.

User-Generated Content:

You retain ownership of content you post, but grant Bohypnic a license to use it within the community. You represent that you have the right to post any content you share.

14. EVENT & CONTENT USAGE RIGHTS

Photography & Video:

We may photograph or video record events, retreats, workshops, and community gatherings for promotional and marketing purposes.

By attending Bohypnic events (online or in-person), you:

  • Consent to being photographed or recorded

  • Grant Bohypnic the right to use of your image and likeness in Bohypnic marketing materials, website, social media, promotional content, and publications

  • Use of your testimonials or feedback in our marketing

  • Understand that no compensation or royalties are provided for image usage

If you do NOT consent to being photographed/recorded:

  • Notify us in writing at connect@bohypnic.com before the event

  • Keep your camera off during online events if you wish not to be photographed or recorded

We will make reasonable efforts to honour your request, though we cannot guarantee you will not incidentally appear in group photos or wide shots.

Use of Images:

  • We will never use images in a way that is defamatory or misleading

  • We will not sell your images to third parties

  • Images may be used indefinitely unless you request removal

Requesting Image Removal: Contact connect@bohypnic.com to request removal of your image from future materials. We will honour this request within 30 days, though we cannot remove images from materials already in circulation.

Your Own Content: You are responsible for respecting others' privacy when taking photos/videos at Bohypnic events. Do not share images of other members without their consent and do not share private or sensitive community content

15. COACHING TERMS & DISCLAIMER

Nature of Coaching Services:

Bohypnic offers holistic coaching for personal growth, self-reflection, and wellbeing. Coaching is not:

• Treatment for mental health conditions

• Medical advice or diagnosis

• Legal, financial, or professional advice

• A substitute for professional healthcare

Your Responsibility:

You acknowledge that:

• You are responsible for your own wellbeing and decisions

• Coaching outcomes depend on your commitment and engagement

• Results vary and are not guaranteed

• You should seek appropriate professional help for mental health, medical, or legal concerns

Limitations:

Bohypnic coaches are not liable for:

• Decisions you make based on coaching discussions

• Outcomes or results from coaching

• Any harm resulting from your actions or choices

Use of Coaching Materials: Any materials, worksheets, or resources provided are for your personal use only and may not be shared or reproduced without permission.

16. TAROT DISCLAIMER

Nature of Tarot Services:

Tarot readings provided by Bohypnic are for entertainment, self-reflection, and personal growth purposes only.

No Guarantees:

Tarot readings:

• Are not scientifically proven or guaranteed to be accurate

• Do not predict the future

• Should not be used as the sole basis for important life decisions

• Are subjective interpretations and perspectives

Your Responsibility:

You acknowledge that:

• You are responsible for your own decisions and actions

• Tarot readings are one tool among many for self-reflection

• You should seek professional advice for medical, legal, or financial matters

• Outcomes and experiences with tarot vary

Not a Substitute for Professional Services:

Tarot readings are NOT:

By booking a tarot reading, you accept full responsibility for how you interpret and apply the information received.

All content created by Bohypnic is owned by Bohypnic LTD or licensed to us and is protected by UK copyright law including: 

  • Website and community content (bohypnic.com and community platform)

  • Text, graphics, logos, images, photography

  • Videos, audio recordings, podcasts, and podcast content

  • Social media posts and content across all platforms

  • Course materials, worksheets, guides, and programme resources

  • Retreat and event materials

  • Community Guidelines and frameworks

  • Bohypnic branding, trademarks and design elements

  • Any other original Bohypnic content 

Your Use:

You may:

• View and access content for personal, non-commercial use as a paying customer

• Download resources provided to members for personal use only as a paying customer 

You may NOT:

• Reproduce, distribute, or sell Bohypnic content

• Share member-only resources with non-members

• Use Bohypnic branding or materials for commercial purposes

• Create derivative works without written permission

Member-Created Content:

Content you post in the community remains your intellectual property, but you grant Bohypnic a non-exclusive license to display it within the platform.

Third-Party Content:

Some content may be licensed from third parties. Respect all copyright notices and restrictions.

Use of Member Content by Bohypnic:

When you participate in interviews, provide testimonials, or share your story with Bohypnic, you grant us permission to:

  • Feature your content in blog posts, case studies, and promotional materials

  • Share quotes and testimonials on our website and social media

  • Include your story in podcasts, videos, and other media

  • Use your name and likeness in connection with your shared content

You retain the right to:

  • Request specific content not be shared publicly

  • Withdraw permission for future use of your content (contact connect@bohypnic.com)

  • Review content before publication (where feasible - we will make reasonable efforts)

We commit to:

  • Always representing your words and story accurately and respectfully

  • Not using your content in misleading or defamatory ways

  • Honouring requests to remove your content from future materials (within 30 days)

  • Obtaining explicit consent before sharing sensitive or vulnerable content

Consent for Interviews & Media:

If you participate in an interview for our podcast, blog, social media, or other media channels:

  • We will seek your explicit consent before or during recording (verbal or written consent)

  • By agreeing to be interviewed or recorded, you acknowledge and consent to publication

  • You may request to review content before publication where feasible

  • For spontaneous content (e.g., social media stories, live events), your participation indicates consent unless you explicitly opt out

If you do not consent to being featured, please inform us before or during recording.

Email Service Providers:

Newsletter Platform:

Our newsletter is powered by Beehiiv. When you subscribe to our newsletter, your information (email address, name, and subscription preferences) is shared with Beehiiv for delivery purposes.

• These Terms are between you and Bohypnic LTD, not Apple Inc.

• Apple is not liable for any claims relating to the application, including product liability, legal compliance failures, or intellectual property infringement

• Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you

• You represent that: (a) you are not in a country subject to U.S. Government embargo or designated as supporting terrorism, and (b) you are not on any U.S. Government prohibited or restricted parties list

Google Play Store:

• Similar acknowledgments and limitations apply to applications accessed through Google Play Store

• Google is not responsible for the application or claims relating to it

• Your use must comply with Google Play Store Terms of Service

You agree to comply with all applicable third-party terms when using mobile applications to access Bohypnic services.

Formal Dispute Resolution:

For UK Members:

• Small claims court (for claims under £10,000)

• Mediation through a UK-approved mediator

• Binding arbitration (for claims over £10,000)

For International Members:

• Binding arbitration administered by JAMS

• Conducted remotely via phone or video conference

• Under JAMS Streamlined Arbitration Rules

No Class Actions:

YOU AND BOHYPNIC AGREE TO RESOLVE DISPUTES INDIVIDUALLY. You may not participate in class actions, representative proceedings, or consolidated claims against Bohypnic.

Opt-Out Right:

You may opt out of arbitration by emailing connect@bohypnic.com within 30 days of joining. Include your name, email, and clear statement: "I opt out of the arbitration provision." All other terms remain in effect.

Governing Law:

These Terms are governed by the laws of England & Wales. For any litigation not subject to arbitration, the courts of England & Wales have exclusive jurisdiction.
